**The Role**
Reporting to the CEO of Teneo Brussels, you will be responsible for the daily running of the Teneo Brussels office to ensure that local facilities are operating smoothly, coordinating with centralised IT and Finance teams, as well as external building management as appropriate. As a member of the Brussels admin team, you will be the first port of call for all administrative queries from staff in Brussels, ensuring that clients, colleagues and contacts are received in the Brussels office in a professional and welcoming way.
Your responsibilities will include:
- Ensuring the general upkeep and functioning of the office space, coordinating with external building management and suppliers where necessary
- Ensuring security and fire safety procedures are met in accordance with compliance requirements
- Coordinate and centralise all expenses related to the Brussels office and ensure timely processing of invoices in coordination with the Finance team
- Manage office supplies and stock, including IT equipment, according to budget
- Oversee office badge system and coordinate access for new joiners as well as visitors
- Support with client and staff events
- Liaise with IT for troubleshooting existing equipment and set-up
- Manage subscription records in coordination with HR
- Collect, sort and distribute incoming mail as required
- Filter incoming calls to the Brussels office, together with the rest of the admin team
- Manage business card orders
- Support with onboarding for new joiners as required, including laptop configuration and access to subscriptions
- Ad hoc support to staff members, particularly the MD group, in the Brussels office with travel bookings and agenda management
**Professional experience**
- Proven experience of a full-time professional experience in an administrative role
- Bachelor’s degree in business, administration, or relevant field preferred
- Fluent English and ability to work in either French or Dutch
- Experience working in a fast-paced, multicultural environment
- Experience with finance administration is an advantage
