**About the Role**:
**Office Management**:
- Oversee day-to-day office operations, including managing post and incoming calls.
- Serve as the primary liaison with the global IT provider to ensure uninterrupted access to hardware and software.
- Order and maintain office supplies and equipment within the allocated budget.
- Manage meeting rooms, ensuring they are prepared and available for use.
- Coordinate with local suppliers and contractors as needed.
- Welcome clients and visitors, arrange transportation and provide support for their needs.
- Implement and enforce global group procedures to ensure consistency.
- Maintain a safe, secure, and well-functioning working environment.
- Manage office subscriptions and renewals.
**HR Support**:
- Support the onboarding and offboarding of employees, including preparation of equipment and inductions.
- Assist in tracking employee records, including leave, benefits, and training schedules.
**Team & Internal Communications**:
- Schedule and manage team meetings, ensuring agendas are prepared in advance.
- Plan occasional staff events, such as training sessions and team-building activities.
- Oversee the renewal process for eligible staff of European Parliament badges.
**Travel Management**:
- Book travel and accommodation for team members in line with company policies and budgets.
**Client Support**:
- Organise client events, including:
- Venue selection based on participant numbers and location.
- Catering arrangements for meetings or events.
- Meeting room setup and post-meeting clear-up.
**About You**:
Required Skills and Experience:
- At least 3 years of experience in a similar role, ideally with a blend of office management and administrative duties.
- Proven ability to work proactively and independently, with mínimal supervision.
- Strong time management skills and the ability to prioritise and manage multiple tasks.
- High attention to detail and problem-solving capabilities.
- Proficient in Google Suite (Gmail, Calendar, Docs, Sheets, Slides) and Microsoft Office tools, including Excel and PowerPoint.
- Basic IT knowledge to provide internal support for colleagues.
- Strong written and verbal communication skills in English.
- Good working knowledge of French or Dutch for liaising with suppliers and obtaining quotes.
