The freelance Financial & Administrative Officer (FAO) supports the SERE Chief Operating Officer (COO), the Treasurer and project officers with administrative and financial functions needed to run the organisation daily. The FAO works in close collaboration with the external company contracted to perform SERE accounting.

Key duties and responsibilities:

1. Supports the SERE COO to plan, monitor, manage and report financial data and documentation.

2. Direct relationship with SERE Treasurer to assist and facilitate their functions, preparing monthly payments for the SERE Treasurer following the financial rules of the organisation.

3. Coordination of administration, financing and internal management of SERE (aligned with SERE 2021-2027 Strategy and internal policies), under the planning and supervision indicated above.

4. Administrative and organisational support of all projects of SERE coordinated with the PM (project manager).

5. Financial and budget management of SERE: creates, oversees and monitors the annual budget plan and application—financial and administrative follow-up of projects and funder reporting.

6. Monthly month-end procedures regarding validation of staff timesheets & invoices and cost declarations, and processing to accountant.

7. Preparing invoices when required

8. Confirming VAT in close collaboration with accountant

9. Management of contracts and legal procedures (with occasional external expert support if necessary).

10. Preparation of administrative documents for signature by respective SERE BoD or COO, e.g. financial identification forms, agreements, contracts and letters to authorities.

11. Preparation of quarterly financial reports, summaries and analyses on request of the COO or the Board.

12. Stays informed about fiscal obligations and requirements under Belgian law for NGOs and supports SERE to ensure compliance.

13. Confirming the annual accounts in close collaboration with the accountant.

Qualifications

  • MUST be a contractor/freelancer
  • Previous finance admin experience
  • Languages: Dutch/French/English
  • Basic accounting knowledge
  • Google sheets/excel knowledge
  • autonomous in planning and following up on projects

  • budgeting skills are a big plus

Compensation

  • Freelance contract with initial duration of one year
  • Average working hours 10/week
