Duties:

The job holder provides administrative assistance to various sections of the U.S. Embassy and U.S. Mission to the EU, where there is a staffing need. When not assigned, the position provides administrative support to the Human Resources Office.

The duties include but are not limited to:
Office Management

Administrative and Clerical Support

The incumbent can be assigned to multiple sections in the Tri-Mission to provide general administrative and clerical support.

The duties and responsibilities will vary strongly depending on the section (Procurement, Finance, Customs & Shipping, General Services, Management, ) and the support needed.

When assigned to an administrative support position, the incumbent can be required to:

  • Manage and distribute various forms of correspondence with other offices.
  • Prepare supply and procurement requests in accordance with Procurement regulations.
  • Compose, type, or edit a variety of correspondence, such as letters, office policies, acceptance of invitations, memoranda, reports, forms, cables, etc. from handwritten drafts, oral instructions, or previous examples.
  • Design and prepare slides, viewgraphs, charts and other forms of visual information by abstracting and considering information and highlighting trends and relationship for use by staff in conferences, meetings or briefings.
  • Distribute and review PO invoices, check for completeness and ascertain whether all terms and conditions have been met.
  • Translate and track diplomatic notes, management notices, mail, cables and policies.
  • Maintain databases, do dataentry and assisting in improving databases
  • Maintain electronic files
  • Serves as Timekeeper or backup timekeeper for section

Human Resources Support:


When the incumbent's support is not needed by other sections, the incumbent will provide clerical support to the Human Resources Office.

Depending on the need and the priorities of the Human Resources Office, the incumbent can be required to:

  • Assist the Summer Hire Coordinator with collecting requests, position descriptions, assignments, checkin/checkouts, and personnel actions.
Assist with organizing logistics and administrative support for HR trainings and visits, mailings, archiving folders and delivering certificates.

  • Assist the Award Program Advisor with the announcement of biannual awards and provides general assistance during the setup and aftermath of the awards ceremony.
  • Assist with scheduling medical appointments.
  • Request mediassistance cards and meal tickets cards.
  • Update the HR Sharepoint website.

Qualifications and Evaluations:

EXPERIENCE:
Minimum one year of experience in an administrative office.

  • Education Requirements:
Secondary School Diploma required.

LANGUAGE:
Fluency in English; fluency in French or Dutch This may be tested.

SKILLS AND ABILITIES:
Very good computer skills, especially in Microsoft Office suite. Good typing skills. Outstanding customer service skills. Considerable tact, diplomacy, and strong communication skills essential, tact and diplomacy, common sense and good judgment. Good administrative and organizational skills. Must be able to work independently and in group. Good data entry skills. Must have good numerical skills and be able to manipulate numbers with accuracy.

The pay plan is assigned at the time of the conditional offer letter by the HR Office.
